Tonbridge SC Club Championships 2024

TSC are once again licensing the Club Championships (Level 4) so that times will be recorded on the Swim England Rankings system and can count towards Kent County Qualifying (subject to Kent ASA conditions).

The licence numbers for the 5no. Championship sessions are: 4SE241630 to 4SE241634.

Note: If a squad swimmer “forgets” to enter obligatory events, they will be automatically entered into them at coaches’ direction.

 

 

How to enter the Club Championships:

1.      SCM invites will be emailed to all swimmers. Do not lose your invite email as it contains the entry link you need to enter.

Important: The electronic entry system lists ALL Championship events … please only select the events to enter appropriate to you / your squad.

2.      On the SCM link emailed to you, choose what events that you are entering (see programme over the 5 sessions and also see above for events you might be obliged to enter as a squad requirement):

a.      The 25m and 75m IM events are not licensed and do not form part of the licensed results that get sent to Swim England Rankings

b.      No swimmer is to enter the 25m and 50m in same stroke or the 75m IM and 100m IM

3.      Entry / amendments deadline is Sunday 6th October 2024.

4.      Entry times: Always please include an entry time for events where you can as, without an entry time, you will be seeded as slowest and will be seeded into one of the first heats (which may not be a problem for the younger swimmers). If you do not have an entry time, please ask your coach for one.

5.      Payment: Payments will be processed sometime after 6th October via GoCardless from SCM system. Please see the agreed squad fees for club champs  

HDW - All events will be swum on a Heat Declared Winner basis and there will be no finals and will be swum in speed / seed order.

Disqualifications will be announced by event number followed by heat number and the lane number.

All events will be swum as seeded and you are only eligible to score championship points in your own age group (Bronze swimmers will not score in the 25m races).

Please do not lose your emailed invite … it will have entry link on it that you need to refer to.

Arrival times: You are encouraged to get to the pool in good time for the warm-ups (see below for timings) – there is no reporting-in needed (but see below for withdrawals).

Warm up times are provisionally:

·        Sunday sessions: 2-2.25pm - we aim to start the racing as soon after 2.25pm as is possible.

·        Thursday sessions: 8-8.20pm - we aim to start the racing as soon after 8.20pm as is possible.

The warm-ups may well be rather crowded so please bear with that and always follow pool etiquette, make room for swimmers and follow coaches’ directions.

There will be no additional warm-up / swim down facilities.

Withdrawals: You must advise if you are withdrawing from any events, and this must be done much earlier and not on the day by emailing directly to [email protected] providing full details of yourself and the specific event(s) you are withdrawing from.

Promoters Conditions:

1.      This competition is promoted by Tonbridge Swimming Club (TSC) and held under Swim England / ASA Laws and Technical Rules.

2.      These conditions relate to the Competitive events being held and not the Novices races listed in green.

4.      The programme of events is as detailed separately above and is held over several venues as indicated.

5.      Ages are as at 31st December 2024. It’s the swimmer’s responsibility to ensure his/her eligibility for each event. All swimmers must be current swimming members of TSC.

6.      Events will be run as “female” and “open/ male” categories where the female category is for birth sex females in accordance with Swim England’s Transgender and Non-Binary Competition Policy. By entering the ‘Female’ category, a swimmer confirms that their birth sex is female.

7.      The age groups are:

a.      8/U

b.      9-10

c.       11-12

d.      13-14

e.      15-16

f.        Senior (17-24)

g.      Masters (25+) **

** Masters will be swimming in accordance with SE / ASA rules and not Master’s rules (eg. no breast legs allowed on butterfly).

8.      The events will be held in six lane, 25 metre pools with anti-wave lane ropes with manual timing and there will be no strobe start light available by the blocks.

9.      Entries will open no later than 6 weeks before the first Session.

10.   Entries will be accepted from any TSC swimming members.

11.   Any Tonbridge SC swimmer entering, whose Ranked club is not Tonbridge, will be entered as an “exhibition” swimmer and will not score points or be eligible for medals/ awards.

12.   The number of entries will only be limited by the Promoter under extreme circumstances of the events being oversubscribed. In this unlikely event the slowest swimmers will be rejected by age group (this has never happened previously).

13.   Closing date for entries will be no earlier than Sunday 6th October.

14.   A list of accepted entries will be issued as soon as possible after entries are in and visible on the Meet Mobile App.

15.   An entry fee is payable - see above.

16.   It is the responsibility of each swimmer to carefully check the accuracy of names, ages and entry times. Any errors are to be reported to the Promoter asap.

17.   It is at the Promoters discretion if any late entries are accepted.

18.   Entries are to be submitted electronically via SCM invite. If you have any problems, please email [email protected] for remedy.

19.   Refunds will not be considered unless entries for a swimmer are rejected (eg due to events being over-subscribed) or a swimmer has a demonstrable medical issue which needs to be declared to the Promoter’s satisfaction no later than 1 day before the racing.

20.   Refunds will only be considered if swimmers are unable to swim at least half of the events they entered (or should have entered) in which case a 50% refund will be given. If a swimmer is unable to swim all the events they entered a 100% refund will be given.

21.   A sign-out system will be in operation. Swimmers will be expected to advise at the earliest opportunity if they cannot swim an event they have entered. This is to be done by emailing [email protected]

No other means of communicating withdrawals will be actioned.

22.   Competitors must be alert on poolside to follow warm up instructions and when their event is being “marshalled”.

23.   Diving is only allowed from the deep end blocks at any of the pools in use (where the water depths are 2m and 3m at respective pools) either during racing or when sprints lanes are announced and supervised during warm-ups.

24.   Competitors must leave the pool by the steps at the side of the pool after their events.

25.   All events are run on an HDW basis.

26.   Medals will be awarded to 1st, 2nd and 3rd placed swimmers in each age group in each event for each gender category and other awards as the Promoter sees fit.

27.   Lockers will be available at £1 refundable deposit at the pool venues. Poolside space is limited so please use lockers where possible.

28.   TSC or the pool operators will not accept responsibility for any property lost or stolen.

29.   It is forbidden to bring glass containers or hot drinks poolside.

30.   Rubbish sacks will be provided, and swimmers are responsible for leaving the area as they found it.

31.   Photography: In line with The SE Child Protection Policy / Wavepower it is no longer required that you sign cameras in. However, we ask you to respect Safeguarding protocols and SE guidelines (refer to:  http://www.swimming.org/swimengland/wavepower-child-safeguarding-for-clubs). So, if you plan to take any close-up photos or video or if in doubt please ask the Promoter, Announcer or Referee on the night and they can guide you so as to avoid any embarrassment.

32.   The use of cameras or camera phones in the changing rooms is strictly banned and anyone found in breach of this requirement is likely to be ejected from the Championships and potentially subject to further Safeguarding investigation.

33.   Results: Competitor’s times and results will be recorded and published at the earliest opportunity both on the TSC web site and at pool side / foyer as possible, as well as via Meet Mobile.

34.   The Promoter reserves the right to alter the schedule if circumstances demand.

35.   Any item not covered within these conditions will be at the discretion of the Promoter.

36.   Should any circumstances arise that alter any of the above the Promoter will publicise the any such changes by most sensible means as promptly as possible.

37.   Data Protection Act: TSC uses computers to run the entries and results of this meet. By submitting entries and accepting entry to the meet, consent is therefore given, as required under The Data Protection Acts, to the holding of personal information on a computer. Personal data such as name, club, entered and recorded times may be made public during or after the event.

Personal data we hold will be encrypted or password protected and deleted once the need for its retention has passed.

 

Conditions Relating To Covid:

We reserve the option of implementing or modifying protocols as may be appropriate to reflect the risk of Covid, or other issues, nearer the time of the racing and any directives or guidance from Government or our pool providers that may change.

Any such changes to protocols will be confirmed nearer the time.
